Count usable seats, not headline capacity
Begin with every person who will actually travel: adults, children, infants needing a child seat, and guests who may need easier access. A vehicle’s stated maximum capacity is not necessarily its comfortable capacity once child seats, carry-ons and a longer journey are involved.
- List passenger numbers for each leg if people join or leave the group.
- Provide children’s ages and heights for appropriate seating requests.
- Include strollers, mobility aids, instrument cases and sports equipment.

Describe luggage precisely
“Six bags” is not enough information. Distinguish cabin bags, medium and large suitcases, rigid cases, boxes and items that cannot be stacked upright. Allow room for items likely to appear after a flight, such as duty-free purchases or extra hand luggage.
Avoid filling the luggage area to its theoretical limit. A margin makes loading safer and leaves space for coats, strollers and last-minute changes. With a dense load, two cars can be more comfortable than one larger vehicle: no guest needs to travel surrounded by bags.
When one minivan makes sense
A minivan is often the clearest option when everyone arrives together, has one destination and wants a shared journey. It suits a family, a small work team or friends who need to coordinate plans on the way. There is one meeting point, one loading process and less chance of passengers being separated.
Reconsider this option if there are many large suitcases, multiple child seats, guests with limited mobility or several drop-offs. On a longer route, spare space is generally more valuable than using every nominal seat.
When multiple cars are the better plan
Separate vehicles are useful when guests arrive at different terminals, stay at different addresses or are ready to depart at different times. They also create flexibility: one car may leave while another waits for delayed luggage. For a programme involving meetings and changing stops, a car with driver may fit better than a single point-to-point transfer.

Plan drop-offs and contingencies
An address alone may not identify the correct arrival point. Hotels can have separate entrances, apartments may sit behind gates, and venues can have several access points. Provide the venue name, full address, preferred entrance, receiving contact and map reference where available. Confirm whether luggage should be unloaded before passengers, and whether every guest exits at the same stop.
Cars travelling in sequence should not rely on staying visible in traffic. Set up a group chat, agree the vehicle order, choose a fallback meeting point and decide what happens if contact is lost. Put the date, flight or pickup time, passenger list, detailed luggage, child-seat needs, all addresses, stop order, contacts and access notes in one message. Mention possible flight disruption and identify who can approve changes. This enables a decision based on the actual movement of the group rather than an optimistic seat count.
