Confirm contacts and trip details
Share the flight number, date, airport, terminal, destination address, passenger count, luggage and a phone number with country code. Name a messaging app that will work on mobile data, and save the coordinator’s contact offline. Ask which channel will be used if ordinary calls fail: in-app message, SMS, or Wi-Fi calling.

Make the meeting point unmistakable
“Outside arrivals” is not sufficiently precise at night. Confirm terminal, level, arrivals hall or parking area, exit number, landmark, and the action to take after baggage collection. Request the driver’s name and a vehicle description, or another safe identification method. Do not give a stranger your passport, booking code, or payment details as proof of identity.

Keep boarding decisions safe
Before getting in, check that the driver and vehicle match the agreed description. Step back if someone pressures you, changes the location without a clear reason, or asks for an unagreed payment method. Share your route, expected arrival and emergency contact with someone you trust. Keep documents, medicines, charger and valuables with you rather than deep in the luggage compartment.
Plan for a delayed or disrupted flight
Ask whether flight status is monitored, when updates are passed to the driver, and what you should do if the schedule changes materially. After landing, send a brief update if you are diverted, delayed by baggage, or need extra time. Check late hotel access
Verify the address, late-guest entrance, reception hours, document requirements and key procedure if reception is closed. Tell the accommodation directly that you expect a late arrival and save its number. In pedestrian zones, ask for the nearest permitted drop-off and the safe walking route from it.
Prepare a compact fallback plan
